Notion (Noushen) alternatives in Russia: what to use instead

In short

  • For business in Russia — BuildIn: databases, relations, views, roles and reports, paid in rubles.
  • For personal notes — Obsidian: local files, works offline.
  • For simple records — Yandex Sheets or Google Sheets until relations and roles appear.
  • For complex processes — a custom platform or a bespoke system.

Notion is not the only tool with databases and relations. The question is not “which service looks similar”, but what it must cover: notes, teamwork, a CRM or the whole business.

Why people look for a Notion replacement

Three reasons:

  • Payment. Foreign services are hard to pay for from Russia, and corporate cards often fail.
  • Access and data. Some companies require work data to stay in the country.
  • Language and support. Russian documentation and support save the team time.

A replacement for its own sake solves nothing: if the process is not described, any tool turns into a mess.

BuildIn — the main replacement for business

BuildIn is a Russian platform with the same logic as Notion: databases, relations between tables, views, roles and reports.

Pros:

  • payment in rubles without workarounds;
  • Russian interface and support;
  • structure migration from spreadsheets and Notion;
  • fits a CRM, projects, a knowledge base and finance.

Cons:

  • a smaller template and integration ecosystem than Notion;
  • complex automations need configuration rather than an off-the-shelf solution.

For a team of up to 10–15 people BuildIn usually covers sales, tasks and a knowledge base without development.

Obsidian — for notes, not for a team

Obsidian stores notes in local Markdown files. It is an excellent option for a personal knowledge base, lecture notes and writing.

It does not fit a business: no proper tables with roles, no collaboration and no reports. Notes can be linked, but it is not a client database.

Coda and Airtable

Both provide databases and automations but remain foreign services: payment and availability from Russia have the same limits as Notion. Consider them if the team works abroad.

Spreadsheets: Yandex Sheets and Google Sheets

If the records are simple — one client list, one report — spreadsheets are enough. They are free and familiar to the team.

Problems start when relations appear: client → deal → task → payment. In spreadsheets this turns into manual transfers and mistakes.

Migration: what to consider

  • Export data from Notion to CSV and Markdown in advance.
  • Clean the directories: duplicate clients, empty fields, outdated stages.
  • Move working processes only. The archive can stay in files.
  • Check access rights before launch, not after.

FAQ

Is there a free Notion alternative?
For personal notes — Obsidian (free for non-commercial use) and Yandex Sheets. BuildIn and Coda offer free plans with limits on blocks and members. For a team, free plans hit their limits quickly.
Can data be migrated from Notion?
Yes. Notion exports pages and databases to Markdown and CSV; BuildIn imports tables and structure. Migration needs cleanup: relations, formulas and views are usually rebuilt by hand.
Is BuildIn a full replacement for Notion?
For most business tasks, yes: databases, relations, views, roles and reports. For specific integrations or high load, a custom system or platform is a better fit.
What should a team of up to 10 people choose?
BuildIn if payment from Russia and Russian-language support matter. Notion if the team works from abroad and payment is not an issue. For two or three people, well-structured spreadsheets are sometimes enough.
